You can protect email to outside recipients without leaving Outlook or Gmail by using SafeSuite Lite. You write and send the message the way you always do, and SafeSuite Lite adds protection to the body of the email, its attachments, or both, so the sensitive part is controlled by a policy you set, not left to whatever happens after you hit send.
Why email to outside recipients needs more than a send button
Email is still where most sensitive documents actually travel: contracts, financial statements, account details, anything that needs to reach one specific person at another company. But a standard email gives you no say once it’s delivered. It can be forwarded, left open on a shared screen, or sit in an inbox long after the reason for sending it has passed. Encrypting the connection between mail servers helps in transit, but it says nothing about who can open the message once it arrives.
What SafeSuite Lite protects
SafeSuite Lite works from inside Outlook and Gmail, and you choose what to protect on each message:
- The body: For when the message itself is the sensitive part, such as account details, a pricing discussion, or a summary of confidential terms.
- The attachments: For when the email is routine but the file isn’t, such as a contract, a financial statement, or a spreadsheet.
- Both: For when the message and the file together tell the whole story and neither should be freely forwardable.
The four controls you set on every message
- Who can access it: Specific named people or organizations, not just anyone who ends up with the email.
- What they can do with it: Decide what the recipient is able to do once they’re in, not just whether they can open it.
- When it can be opened: Expire access on a date, or limit it to a defined window.
- Where it can be opened from: Restrict access by country or region.
What it looks like for the person receiving it
The recipient doesn’t need a Keyavi account or a separate portal to get started. When they try to open the protected message or attachment, they verify with a one-time code, and if the policy allows them in, they read it. That keeps the experience simple for the outside party, which matters, because a security step people avoid is a security step that gets worked around.
After you send: see it, and change it
Sending isn’t the end of your control. In your SafeSuite account, the history log shows each access attempt on a protected message, whether it succeeded or failed. If something changes, say the engagement ends or you sent it to the wrong person, you can change the policy or end access from the same place, whether the email went out an hour ago or months ago. If a recipient’s access has been ended, they simply never receive the one-time code to open it.
SafeSuite Lite or full SafeSuite?
SafeSuite Lite is for email: it protects messages and attachments sent from Outlook or Gmail. Keyavi’s full SafeSuite covers everything else, such as files shared through a data room or a shared drive, or handed to a partner or vendor outside of email. Most teams start with Lite because email is where outside sharing most often begins.
The goal isn’t to change how your team writes email. It’s to make the messages that matter protected by default, from the tools they already use.
